Why Most Recruiter Outreach Fails

The average recruiter receives 50-100 InMails and cold emails per week. Most are deleted unread because they commit the same mistakes: too long, too vague, too self-focused. Here's what works.

The Framework: BRIEF + SPECIFIC + ONE ASK

Every effective recruiter message has three properties:

1. Brief — Under 100 words

2. Specific — References their company, team, or a role they're hiring for

3. One clear ask — Not "I'm open to opportunities" but "Do you have 15 minutes this week?"


Template 1: LinkedIn InMail to an Internal Recruiter

Subject: [Role Title] — 5 years SWE, shipped X at [Company]

Hi [Name],

Template 7: Referral Request from an Acquaintance

Hope you're doing well. I know we haven't talked in a while — I saw you're at [Company] now. Congrats!

General Rules

Response rate benchmarks:

  • Cold LinkedIn InMail from a stranger: 10-15%
  • Personalized email to hiring manager: 20-30%
  • Warm intro / referral request: 40-60%

Timing matters: Send Tuesday–Thursday, 8-10am recipient's local time. Avoid Mondays (overloaded) and Fridays (mentally checked out).

Follow up once. If no response after 5-7 days, send one follow-up ("Just bumping this up — still interested if this is relevant"). After that, move on.

Volume is necessary. Even a 20% response rate means 8 out of 10 messages get no reply. Send more messages, not better messages.
