Interview Thank You Email Guide: Templates That Get You Hired

How to write a post-interview thank you email that reinforces your candidacy. Includes templates for phone screens, panel interviews, and final rounds — plus the timing and subject lines that matter.

68% of hiring managers say a thoughtful post-interview email influenced their decision. Most candidates either skip it or send something generic — both missed opportunities.

Timing

Send within 24 hours — ideally 2-4 hours after the interview. For panel interviews, send individual emails to each interviewer referencing something specific to your conversation with each person.

Subject Line

Simple and specific: "Thank you — [Your Name] / [Role] Interview" or "Following up on our conversation today." Avoid exclamation points.

Template: After a First-Round Screen

> Hi [Interviewer name],

>

> Thank you for taking the time to speak with me today about the [role] at [Company]. I really enjoyed learning more about [specific thing they mentioned].

>

> Our conversation reinforced my excitement about this role. When you described [specific challenge or project], I found myself thinking about how my experience with [your relevant experience] could directly apply.

> I look forward to the next steps and am happy to provide any additional information.

>

> Best, [Your Name]

Template: After a Final Round

> Hi [Name],

>

> Thank you for the thorough conversations over the past few weeks. After meeting the full team and learning more about [specific initiative], I'm more excited about this opportunity than ever.

>

> I want to be direct: I'm very interested in joining [Company] in this role. I believe I can [specific contribution] within the first [90 days / 6 months].

>

> Thank you for your consideration.

>

> Best, [Your Name]

Template: When You Have a Competing Offer

> Hi [Name],

>

> I wanted to give you a quick update. I've received an offer from another company with a [X]-day deadline. My strong preference is to join [Company] — is there any possibility of an update on the timeline from your end?

>

> Best, [Your Name]

What NOT to Include

  • Salary negotiation (wait for the offer)
  • Desperation signals ("please let me know as soon as possible")
  • Excessive length (150-200 words is plenty)
  • Typos — proofread twice
  • Generic praise without specifics

Following Up After No Response

If you haven't heard back within the stated timeline, one professional follow-up:

"I wanted to follow up on our interview from [date]. I remain very interested in the [role] and would love to know if there are any updates on the timeline. Happy to provide any additional materials."

Send once. If no response after 7 more days, redirect your energy to other opportunities.
